At SmartPA we work in a number of ways to unleash your organisation’s potential. Our C-Suite and executive support services are relationship-based, scalable, and secure.

Our approach will vary depending on your organisational structure; in essence we architect the optimal model to meet your business goals.  Some clients prefer SmartPA to deliver the whole business support function, while others partner with us to complement their existing assistants, thus accelerating performance while supporting the learning and development of their own specialists . Our role can touch every level of the organisation, from full scale EA activities to lighter-touch departmental support.

We take a relationship-based approach to all our clients and are passionate about delivering impact, value, and a great experience. Our SmartPAs work in a ‘Pod’ structure to deliver an agile, dynamic resource. This resource model, which can be dedicated or shared for clients, provides a consistent, impactful, and scalable infrastructure, while allowing stakeholders to work strategically and accelerate core business focus.

Shared

‘Task time’ approach, delivering optimal coverage while charging only for productive time (the agreed package). Covers the business day but charges only apply when we’re actively working for clients. While your SmartPOD may also be working with other companies, strict IT security contingencies and confidentiality applies.

Dedicated

A dedicated SmartPOD works exclusively with 1 client. This is most comparable to FTE but brings all the benefits and quality control associated with outsourced support. It’s essentially a more reactive model – the team is always available to execute tasks from their client.

Activities:

Diary and Calendar Management: 

Scheduling of appointments, meetings, and conferences for the executive. Our SmartPAs coordinate and organise the executive's calendar, ensuring time is allocated effectively.

Email Management 

This may include prioritising messages, drafting responses, and handling routine correspondence.

Travel Arrangements: 

Planning and organising domestic and international travel arrangements, including booking flights, accommodations, and transportation. Our SmartPAs can also prepare travel itineraries and handle expense reports.

Meeting Management:

Creating minutes – working from recordings, dictation or live meetings. This includes scheduling, preparing agendas, distributing materials, and ensuring all necessary arrangements are in place.

Document Preparation:

Drafting and editing documents, reports, presentations, and other materials. Our SmartPAs can also assist with proofreading and formatting.

Task Prioritisation:

Prioritising tasks and projects, ensuring that important deadlines are met. Our SmartPAs will integrate fully with your systems and processes, using organisational tools to manage to-do lists and track ongoing projects.

Special Projects: 

Managing assigned special projects that require organisational and administrative skills. This could include event planning, research, or other tasks that contribute to the executive's objectives.

Given the sensitive nature of executive-level work, SmartPAs are trusted with confidential information and will handle it with discretion and professionalism. SmartPA is Cyber Essentials Certified and CPD Accredited.
